What Data Does ColdCheck Collect?

Account Information

• Email address

• Name

• Authentication credentials (encrypted)

Voice Training Data

• We store mathematical representations (embeddings) of your writing style

• We do NOT store the actual text of your voice samples after processing

• Embeddings capture patterns, not content

Generated Messages

• Your message intents and generated drafts are stored so you can access your history

• You can delete any message from your history

Usage Data

• Basic analytics (feature usage, error rates)

• Used to improve the product, never sold

What We Do Not Do

• We never read your emails

• We never send emails on your behalf

• We never share your data with third parties for marketing

• We never use your data to train AI models

• We never sell your data

Data Encryption

• All data encrypted in transit (TLS/HTTPS)

• Database hosted on secure, SOC 2 compliant infrastructure

Data Retention

• Messages: Kept until you delete them

• Voice Fingerprints: Kept while your account is active

• Deleted Data: Permanently removed within 30 days

Deleting Your Data

To delete specific data:

• Messages: Delete from your ColdCheck history

• Voice Samples: Delete from Voice Fingerprint tab

To delete your entire account:

• Contact support@coldcheck.ai

• All data will be permanently deleted within 30 days
